Scenario 1: A student bar-code reader A small, lightweight hand-held device is equipped with memory that can store 15,000 barcodes. These barcode readers scan the student identity cards. The barcode reader will be connected to the lecturer’s desktop PC by a USB cable and the data will be uploaded to a Server within the premises. This data will then be converted into information by the IT Manager (not yet appointed). Users need no further training as they only need to press a trigger to operate these barcode readers. The cost of each barcode reader is £110 each. You are to research the additional costs that would be incurred. Scenario 2: Computers for scanning hand recorded registers The paper register scanning system uses individual printed paper attendance sheets for each ‘class meeting’ that takes place. Each individual class attendance sheet has the list of students enrolled on that module together with a date pad showing all teaching days in that week, a time matrix showing the periods available for teaching, a matrix of room numbers and a space for the tutor’s initials. Each student has a delineated space alongside their name which the tutor fills in to indicate their attendance. Similarly, the date, time and room matrices are marked to show the time and date of the class. After the class, the class meeting attendance sheet is posted into one of the faculty boxes which are located by the external doors to the building and subsequently collected by Administrative staff to a central point where the sheets are scanned using an automatic hopper fed scanner which outputs the data to a PC. The data are summarised and reports that look like a normal register are produced on the day following the class showing the attendance (by class meetings) of each student to date. Various other reports such as class attendance lists, room utilisation and staff teaching hours can be produced. The system depends greatly on the production of the individual class meeting attendance sheets and the accuracy of the student listing for that class. It appears wasteful of paper and ink but in reality, the paper is recycled and in the short term, does provide an audit opportunity for college funding providers who can check the ‘paper trail’ to the system. The college is also going to implement an automated non-attendance letter, if students miss two consecutive weeks in a Term. Once the system identifies those students that are not attending, the system will produce a letter informing the students have been withdrawn from the college. This information will be collected from the data in either of the scenarios identified above.
