Title page

 Major title  Additional descriptive title or Lead  Team name and author(s) of the documentation  (To whom the report is addressed, eg. BHMS and the Lecturer)  Location and date of the report

Management or Executive Summary (reports only)

 The Mgmt. – or Executive Summary will be written at the very end of the assessment, but it is located between title page and the index (table of content).

 It is the conclusion of all the conclusion of each chapter.

 The Mgmt. Summary must be motivating for the reader.

 It should never be longer than 3/4 – 4/5 of an A4-Page or letter size (US) and should include following point in short, clear and precise manner:

 the author(s) of the report,  the reason for the documentation,  clearly stated goal(s), objectives, hypothesis or motivation of the documentation,  how did you approach your work, meaning what primary and secondary methods did you apply to reach your goals;  sequences on executing your academic work, encountered difficulties;  clearly stated results and possible personal recommendations if requested or needed.  Anything your mention in a Summary must be thoroughly discussed or examined within your document.

Table of contents (reports only)

 All titles (e.g. 2. Concept) and subtitles (e.g. 2.1 Goals) until level 3 (e.g. 2.1.1 Formal Goals) are being numbered. All further levels of subtitles will from be titled alphabetically (e.g. a) Efficiency). All titles and subtitles are being referred to their page number.  No title numbers are given to the title of the documentation, the Mgmt. Summary and the Table of Contents. Therefore, chapter number 1 is always the Introduction. The numbering of chapters is always starting after the Table of Contents.

Index of Graphs, Tables and Abbreviations (reports & only when necessary)

 This separate page(s) will state each title and the individual graphs, tables and/or abbreviations used in the documentations accordingly and refer them with a page number as it is done in the index.

Introduction

 The introduction will always start with number one: 1. Introduction.  In this section the work of the report will be introduced.

 The reason of doing the work must be stated here.

 State your goals or objectives of the documentation explicitly.

 Explain the methods of research or work used to reach these goals. The structure may look as following:

 Interpretation of the assignment of tasks or the clear definition of the project.

 Definition of the most used abbreviations in the text, unless or in conjunction to the Index of Abbreviations.

 Aim and Objectives of the assignment

 State the superordinate goals of the assignment.

 Define the objectives of the assignment unmistakably precise and define the borders of content that will be discussed very clearly.

e.g. “this report is subdivided in 5 parts and limits its content to…. It will begin with…. The report will be summarised and concluded at the end and some recommendations will be given.”

 Methods

 Define the methods for collecting data and information.

 Define the methods used for primary and secondary research.  Define the size of samples used to derive at the conclusion.

Main body of the assignment

 Each chapter and subchapter is clearly numbered and structured.

 Each section and thought is started, discussed and concluded in logical sequence before

progressing to the next thought.

 Titles are being numbered according to ruling in the Table of Contents.

rd  After the 3 level subchapter (2.1.1) you may use letters or symbols for further

subchapters. There is no 2.1.1.1, but rather “a)”.

 Use substantial amount of evidence and support to prove your arguments beyond

reasonable doubt.

 Use graphs and calculations to support your hypothesis or theory additionally without

using too much space.

Conclusion

 Use only arguments, proves and facts that were discussed intensively in the main body of the report. You are not allowed to bring in any new information that was not discussed previously in the main body.

 Begin the Conclusion by repeating the definition of your project or the hypothesis, as well

as the aim and objective of your assignment.

 The conclusion is basically the summary of all the conclusions from each chapter.  The conclusion should never be longer than 4/5 of one page.

Recommendations

(Recommendations are not always needed and depend very much on the assignment itself.)

 Recommendations discuss the implementation of your conclusions.

 State them specifically, clear and factually correct and valid.

 Place priorities, as to immediate measures up to long term activities to be taken. Distinct

between strategic, tactical and operative goals and measures to be taken.

 Repeat all recommendations, even though that you mentioned them already in the main

body of your assignment.

 No recommendations, new ideas, sources of evidence or new documents are allowed to

be used that were not conclusively discussed in the main body.
